Customer enquiry & sales workflows

Respond faster without losing the human touch.

Organise inbound enquiries, prepare relevant responses and coordinate follow-up across your sales and service teams. Help busy teams give each request a clear owner and a useful next step while keeping customer commitments and sensitive conversations under human control.

01

What the process looks like today

Illustrative example: a technical services business receives product questions through its website, quotation requests by email and service questions through an approved messaging channel. Staff forward messages between sales and operations, rewrite standard replies and update the CRM later, if time allows. A customer may receive duplicate replies while another request has no owner, and promised follow-ups depend on personal reminders.

02

How the improved workflow works

Illustrative workflow: receive the enquiry, classify its intent, suggest a draft or owner, let the team respond, update the CRM and track the follow-up. Begin with approved channels and a defined enquiry category rather than assuming every conversation can be handled by one automated assistant.

  • Capture the request from an agreed channel with its source, customer context and handling status, within permitted data boundaries.
  • Classify the enquiry as an agreed category such as product information, quotation request, existing order or service issue; flag uncertain classifications.
  • Suggest an owner or prepare a draft using current, approved product and service information; surface unanswered questions for staff.
  • Have the responsible team review and respond, escalating complaints, sensitive matters and commercial commitments to authorised people.
  • Record the approved summary, owner and next action in the agreed CRM or enquiry register without silently overwriting existing customer records.
  • Track due follow-ups and surface overdue work; distinguish a reminder being created from a customer actually receiving a response.
03

Useful assistance, not an unsupervised sales team

Use routing rules and reminders for predictable work. AI can help classify varied questions or prepare drafts from approved information, but it should not invent an answer when the source material is incomplete.

  • Can help: group enquiry types, suggest owners, summarise threads, prepare draft responses and highlight missing details or overdue next actions.
  • Cannot assume: that published stock, prices, delivery dates or service availability are current unless an authorised source supports them.
  • Human review: staff approve external replies and any commitments about pricing, refunds, delivery, contracts or complaint resolution under agreed rules.
  • Sensitive cases: personal-data requests, disputes and confidential account matters should be routed to a designated person, not answered from unrestricted internal knowledge.
  • Boundaries: a customer message is input to the workflow, not permission to disclose other records or change internal instructions. Uncertain requests need a safe escalation path.
04

Channels, reference information and existing systems

Examples include website forms, shared email inboxes, approved business messaging channels, product catalogues, service FAQs and a CRM or shared enquiry register. These are possible inputs and destinations, not claims of certified connectors or access to every platform.

  • Confirm channel ownership, supported interfaces, platform permissions and any messaging restrictions before proposing capture or reply automation.
  • Identify approved response templates and knowledge sources, with an owner responsible for keeping prices, policies and product information current.
  • Check CRM field definitions, customer-matching rules and permissions before writing summaries, assigning owners or creating follow-up tasks.
  • Agree which customer context may be shown to each team; an external enquiry must not open public access to confidential documents or other accounts.
05

A scoped pilot: deliverables and prerequisites

Choose one channel, a manageable set of enquiry categories and a defined sales or service team. Test the route from receipt to staff response and follow-up, including cases that must be escalated rather than answered.

  • Deliverables: current-state and proposed-state maps, agreed enquiry categories and routing rules, an approved reference set and a demonstrable draft-and-review workflow.
  • Validation: representative test conversations, expected owners and escalation decisions, acceptance criteria and a controlled CRM update or export where feasible.
  • Handover: staff response and escalation guidance, documented channel permissions, baseline-versus-pilot findings and recommendations for rollout.
  • Prerequisites: authorised or redacted enquiry samples, approved reply guidance, named channel and knowledge owners, CRM field definitions and reviewers available to test handling.
  • Access: system-owner permission and suitable test or limited-access accounts; approve any provider use and permitted customer data before connecting a live channel.
  • After the pilot: separately agree production deployment, team training, monitoring, content updates, incident handling and ongoing support responsibilities.
06

Measurement goals for the pilot

Set a baseline for the selected channel and enquiry categories, including working hours and escalation rules. Faster handling and clearer sales visibility are objectives to test, not realised client results or promises of increased revenue.

  • First-response time: receipt to a meaningful staff response; report automated acknowledgements separately so they do not mask unanswered enquiries.
  • Qualified enquiry routing rate: the share reaching the correct owner under agreed criteria, alongside incorrect and uncertain assignments.
  • Missed follow-ups: overdue next actions compared with all follow-ups due in the measurement period.
  • Staff handling time: time spent reading, drafting, assigning and recording each request, including draft corrections and escalations.
  • Response quality: reviewer acceptance and correction reasons, with unsupported answers and inappropriate disclosures treated as failures rather than speed gains.

Questions before a pilot

Clear answers before we connect anything.

Scope and pricing confirmed after assessment.

Will customer conversations be shared with AI providers?

Provider use and permitted data must be explicitly reviewed and approved during scoping; it is not an automatic assumption. Agree access permissions, retention, logging and which customer context may be used for drafting. Do not connect confidential internal knowledge to public-facing replies without a defined access boundary and review process.

How do you prevent incorrect or invented responses?

Use approved, maintained information and test representative questions against staff-reviewed answers. Where information is missing or conflicting, the workflow should ask for clarification or escalate rather than invent a price, policy or delivery commitment. Review quality, correction rates and unsafe answers alongside response speed.

Does this replace staff review or customer relationships?

No. The proposed workflow prepares drafts and organises handoffs so people can focus on the conversation. Staff retain control of external responses, sensitive issues and commercial commitments. The exact approval and escalation rules are agreed with your team before deployment.

How much does customer enquiry automation cost?

Scope and pricing confirmed after assessment. Channel access, enquiry variety, knowledge readiness, CRM integration and review requirements determine the project. Any messaging or model-provider charges and ongoing operations should be made explicit in the agreed proposal.

How soon can we start using a pilot?

Timing is confirmed after reviewing channel permissions, approved reference content and the selected enquiry categories. Platform access approvals, inconsistent records and staff validation availability can affect delivery. Begin in a bounded test environment before agreeing live-channel deployment.

What access and preparation are needed?

For the first discussion, explain the channels, current ownership and follow-up gaps without forwarding private customer conversations. Assessment can use approved or redacted examples and response guidance. An integrated pilot needs channel-owner permission, suitable CRM or register access, current reference content and named staff to review drafts and escalations.
